Need help with a quote - please.

I've been contacted by a potential client who publishes 2 county magazines.

He is a Ltd company with a small payroll of 5 employees, and approx 80 invoices sent per month.  No business premesis but they are VAT reg'd.

I know I can't do the payroll yet, but as for the day-to-day accounts and the invoicing - he'd like an idea of the price.  It's on Sage.

I'm thinking about 3 hours per month, plus the payroll once I'm qualified, does this sound about right or am I way off?

I have no experience of trying to quote for these things, and the last time I was pushed for a figure - I overshot and didn't get the work.

Any advice would be gratefully received.

How many transactions do they have in total per month.  Also do they have more than 1 bank account to reconcile?  Do they operate petty cash and would you need to reconcile that too?

The time will depending on how comfortable you are with the software.  For VT I'd say 1 transaction every 30 - 45 seconds is average for me, but with Sage it's a bit more complex with how it works and I'm not so used to it and could only do 1 transaction a minute.

Thanks for your help Kris.

I've emailed the customer with an estimate of 3 hours per month and have listed my assumptions with it, making sure to clearly state that it was an estimate and may change up or down depending on the state of the accounts and processes involved with running his business.  I may get asked in for a chat, if not never mind.  I made it clear in my email that I am ICB, with insurance, PL etc, and the benefit to him that (although I'm not the cheapest) I'm a professional who is accountable and in a position of responsibility.
I'll keep you posted.  I suppose I ought to think about dusting off my payroll course and getting on with it anyway.
