logistics of bookkeeping, payroll and CIS

Just wondering if anyone in a similar situation may be able to help me with this.

I have just taken on a new client from 1st April for whom I will be bookkeeping on site using Sage Instant Accounts.

Since doing an initial set up it has come to light that his accountant currently does the payroll and CIS returns for him. I have not done CIS before but I do understand the concept and requirements behind it. As the accountant is pretty unreliable, I am quite keen to offer to take on the payroll and CIS for him. I think that if I ask the client he will agree to this!

Payroll. I have sage software myself so can run the payroll. As it's a weekly payroll run I'd quite like to keep this on my own laptop (just in case I'm unable to get to his office one paticular day). I can't see any problems with this as it's then just a case of monthly payroll journals?

I suppose my queries then arise when I include the CIS scheme. Would you reccommend buying the add-on from Sage or is it fairly practical to run a small CIS scheme (weekly for 2-3 subcontractors) without investing in the software?

If so can anyone provide me with some wisdom of how I would do this. I assume add the amount due under CIS deductions to the PAYE/NI, make sure I do the monthly returns for the subcontractors and then a set of manual journals in Sage?

Is it that straightforward or are there any more pitfalls that I should look out for??

Advice from someone running a similar system would be useful.

Although I could do it on software I do it manually. My client emails me the payments and I do the return on line and email him back the subbies statements and do a journal in the accounts software.

If the customer is on Sage Instant you can't get the CIS add-on, as this is only compatable with Sage 50.  At least, that is what Sage told me themselves (unless they thought they were going to upsell).  The price I was quoted a few months ago was £580 +VAT for Sage 50 plus 250+Vat for the add-on.  Strangely, I declined!!!!

Hi 

It depends how much CIS you will be doing.   I have the CIS Add on Module for sage L50 and it is excellent for summitting the returns directly online , directly email statements to subcontractors and also completes all the journal to the accounts automatically.   For me it was worth every penny.   My clients have all been very happy with it.

I think it depends on the size of the business. My builder is a very small partnership with 1 or 2 sub-contractors per month.  For him Sage 50 is overkill, but it is specifically in his case that the full package is not required.  I would definately consider it though for a larger company.

I think at the moment that I am with gigagirl/Andrea as the quantity of subbies is so low at the moment. And yes I had also picked up that I would need to upgrade to line 50 to have the addition.

Good to hear that it's perfectly manageable outside of a computerised system/just with manual journals if need be.

Dear Gina


You could encourage your client to buy Payroll Manager by Moneysoft it will cost them less than £100 I think.  It will let you do CIS returns on line, as well as any company payroll, and the reports are simple and easy to produce.  


Then just do the entries in Sage instant - treat the subbies as suppliers.
