Really good end of month check list, anyone got one?

Hi folks,

So I finally got a job in a friends business, it's msall with a total of six employees including me, but a great place to start, learn and grow.

Unfortunatley the previous bookkeeper left after fifteen years, which was the unfortunate bit ( i got her job after all!), the unfortuante bit was she left two weeks before I started in the role, so there was no hand over process.

On top of this, this is my first proper bookkeeping role, and although i have volunteered in an accountancy practive, I have never had to deal with end of month procedures, payroll paying payee and vat etc etc.

and all of a sudden I realise that there is so much I don't know.

So can anyone help a newvie out?

Has anyone got a good or even a great end of month guide?
A practical what to do in the employement role?

I know every buisness is slightly different, but there are some things that should apply to all.

I reallly want to learn and grow, and not mess things up, not do something i should be and erm get fired.

Here is what i have so far (this is my second month in, and the last end of month mad me almost sick with panic!)
And we have just upgraded to sage 50 2013 (much nicer for reports and very exciting emailing feature which needs to be properly set up, but should send everything out much much quicker!)

Print aged debtors
Print aged creditors
Go through suppliers and mark who to pay
pay as required >bacs/chq
update sage accounts to mark paid
print remittances>post/email

make sure invoices are up to date
make sure payments in are up to date > update sage as necessary
print debtor customer statements > post/email

Run payroll
pay staff
Calculate payee and nic (and also student loan)
login in to hmrc and pay payee and nic (how do you pay student loans?)

reconcile bank statement (what do i do when it's reconciled anything am missing?)

Erm thas all i got at the moment, so if am missing anything please let me know.

Also am a member of a number of car forums, and they do stickies on subjects that commonly crop up so they stick to the top of the forum (i.e they are always the first topic on the list), is there anything like that here, or any other practical stuff i should be doing, or websites i should be visiting?

Hi David

Don't know if you have received any help with your request but I just wanted to say that obviously each company is different but as a general guide your checklist so far seems ok.  I would just say that you need to make sure depreciation is done and balances on fixed assets checked.  Accruals and prepayments are posted and that your reconciliations agree to your balance sheet.  

If it were me I would take a previous P&L and see the entries that have been posted and then ensure that you have everything posted for the month end that you are working on and then also look at the balance sheet and see if the previous person had ever done any balance sheet reconciliations so that you can carry those on.  

Also check unallocated cash to see if any payments have been made but the invoices haven't been posted and the same with receipts received but not invoice raised.

Run a daybook report to check that all sales invoices that have been posted have been posted to the sales nominal accounts and not any others.

You mention the bank rec and you say what do you do when it is reconciled so I presume you mean if it doesn't balance.  You would need to do a tick back exercise to the bank statement and see what is missing and then post any relevant entries.

Also - don't forget to check which month your VAT return is due and that VAT payments are made on time, assuming your company is VAT registered of course.  Do you have any fuel scale charges to account for?

Hi David

Just wanted to add about the Student Loan repayments, they're just another form of tax so just add to your PAYE which plus the NI is what you pay to HMRC.

Payroll software does this all for you, I take it you're not using any? I use Moneysoft - it's great.
